Communication – GCSE Business Studies Revision

Not just for revision

  • Communication: it’s a process. A process where information is passed
  • Between groups / organizations, or between individuals
  • There are three main categories: written, visual and verbal
  • Written communication (letters, emails, etc.) is good for ‘official‘ stuff, because there’s a permanent record of it. It’s useful when the information is important.
  • Visual communication has the benefit of using charts, diagrams and pictures to get the message across. It helps with understanding and can convey a lot of information.
  • Verbal communication is… well… talking to someone face to face. It does have its benefits – you can get a response instantly (they have a much harder time ignoring you)

Sub-types

  • One way communication is one-way (reliever cannot reply)
  • Two way communication is two-way
  • Internal communication is within the business
    Face-to-face, team briefings, reports, memos, emails and notices
  • External communication is to people / organisations outside the business
    Advertising, websites, conferences, fax, emails, phone, video, letters
  • Vertical communication is between different levels in the hierarchy (e.g. to your boss)
  • Horizontal communication is between workers in the same hierarchy level (e.g. when you talk to your friend and complain about your boss)
  • Formal communications are… formal! They’re ‘official‘ communications like fax, emails, letters, company memos or reports
  • Informal communications are… informal! They are not officially approved
  • The channel of communication is the path the message takes

Doing it right

  • Train your staff to be efficient at communication and not waste time / money
  • Don’t communicate information that isn’t right, unless you want to confuse people
  • Send it to the right person, for goodness’ sake! And from the right person, too.
  • Pick your time… and place. I’m sure there must be a good reason for this
  • Use the right method of communication
    i.e. tell your friends how much you hate your boss face-to-face rather than by using the company notice-board
  • There are some barriers to good communication:
  • Don’t communicate too much – excessive communication causes ‘information overload’
  • Spam filters could hide your message, or people might not understand technical jargon

Consequences of failing at communication

  • Here’s what could happen if your communication doesn’t work properly:
  • Customers will be dissatisfied
  • You could have problems with suppliers (not enough raw materials delivered, etc.)
  • Misunderstanding amongst workers
  • Decrease in productivity / motivation
